Special Election Details Set


Per the Malagentia guidelines, a special election will be held to fill vacated offices within three months of the vacancy. The newly elected official will finish out the original term.

In this case, we will be holding a special election to fill the office of Seneschal, which was vacated on Oct. 31. Given our lack of physical meetings and the other COVID-related challenges, we have developed the process below to be inclusive and remote, in consultation with the Province’s guidelines, utilizing email for the casting of votes and relying on our established virtual meeting system for the nomination process.

The Province will need to work on a more robust overall election process for the elections at the end of 2021, which will see the full slate of officers up for consideration.

 Regarding this special election:

We will be accepting nominations for the office of Seneschal at the Dec. 3 online meeting. If you cannot make the online meeting, you can email your nomination to chronicler@malagentia.eastkingdom.org by 8 p.m. Wednesday, Dec. 2, and it will be raised at the Dec. 3 meeting.

The nomination process requires one nomination and a second. A nominee may refuse the nomination at any time. Nominees must show proof of membership to the Seneschal two (2) weeks prior to the election (We’ll do this via emailed pics of blue cards).

The list of nominees and special election details (see below) will be posted on the official Malagentia FB page, in the December 2020 Moonstone, to the Malagentia email list, at www.malagentia.eastkingdom.org and via postcard to all current paid members of the province.

Any nominee wishing to speak to their desire to seek this office will have 5 minutes to do so at the January 7 online meeting.

 The election period will be open for 1 week, from January 8 through 15. No ballots will be accepted after midnight, Jan. 15.

 The process:

Paid members over the age of 14 will be asked to email their vote and SCA member number to chronicler@malagentia.eastkingdom.org. The chronicler shall identify two members not running for this office to verify the ballot count. All involved in the counting process shall consider the information gathered to be confidential, except for the ultimate numerical count. Put simply – no one outside of this process is to share information about who voted for whom. 

The Chronicler shall announce the winner no later than 5 p.m. on January 17 via Malagentia’s official FB page, www.malagentia.eastkingdom.org and through the Malagentia email list.

 In the case of a tie, the Chronicler will announce the results and, following consultation with the Provincial officers, determine how to proceed with a runoff election.
