Can I merchant at GNEW?

Does it cost anything to merchant at the war?

There is no additional cost to merchant at the event. 6′ tables are available to rent for $10 each and can be requested on the merchant registration form.

When do I need to register by?

Registrations for merchanting close June 30th.

How do I determine my space needs?

Please provide the complete width and length of the site you need, including space for ropes and any additional space you desire. Space can be limited depending on the number of vendors. You must not go over your provided space, so please try to be as accurate as possible.

Are there tables available?

Yes, there are tables available for rent. The price is $10 per table. When you submit your registration form, you can indicate how many tables you need. Tables must be pre-paid after registering with the Merchant Coordinator. Payments via PayPal must be submitted no later than June 30th; payments via check must be made by July 6th.

Make checks payable to “SCA Maine, Inc – Province of Malagentia”.

Failure to make payment arrangements before this date means the extra tables you requested will not be picked up. Table rentals are non-refundable.

Is there electricity available?

Yes, there are a number of sites with electricity. The cost is $20.00 for the weekend. When you submit your registration form, you can indicate if you need electricity.  Electricity must be pre-paid.

The Merchant Coordinator will indicate which electric outlets are available for your use. You must coordinate with your neighbors if they are also paying for electric use. There are no extension cords, power strips or electric splitters available. You must bring whatever you will need for extension cord or power strips.  Typically sites are within 50-100’of the outlet.

We will be providing tags for individuals who have paid for electric. These must be attached to your extension cord. Only one extension cord will be tagged per paid $20 fee. If you do not have a tag, you will be unplugged from electric. You may not plug into any electric outlet that requires you to run a cord across a walking path.

After registering with the Merchant Coordinator, please submit total by PayPal or check, no later than . Make checks payable to “SCA Maine, Inc – Province of Malagentia”.

Can I vend next to my friends?

Yes. The Merchant Coordinator works hard to try to group friends and family together. We know how much it improves your event experience to have friends around. Please make a note on your form if you have a friend merchanting that you would like to set up your booth beside.

Can I choose my site?

No. Unfortunately, you are unable to choose your site. We try very hard to accommodate requests however, so if you have a request feel free to make a note on your registration form and we will try to accommodate it.

Can I vend food at the war?

No. Due to state law, we cannot allow any vending of food during the event.

Can I do demonstrations, classes or blacksmithing as a merchant?

Yes. You are welcome to do any or all of these things as a merchant. Please note on your registration form if you intend to use fire or open flames so that we can place you in a safe space. This will give us time also to make sure we have access to a hose in case of an accident. If you would be using fire that cannot be put out with water, please bring appropriate fire-suppression systems.

I have a situation and can no longer merchant at the war. What do I do?

Please let the Merchant Coordinator know as soon as possible if you cannot make the war. Table payments will not be refunded, but electric payment will be.

I am from Canada, Mexico or Europe. Can I vend at the site?

Yes, you can. We do not know what the process is to import goods for sale to the US; that is something you will have to determine on your own. If you are renting tables or electric, please contact the Merchant Coordinator to make payment arrangements. Sending a letter stating you will be paying in US dollars upon arrival at the event is acceptable.

When can I set up my merchant booth?

You can begin to set up your booth on Thursday at 9:00 am.  Only merchants will be allowed in at this time for set up.

When you arrive on site, let staff know that you are a merchant, and they will reach out to the Merchant Coordinator to meet you on Merchant’s Row.

Site opens Thursday at 12:00pm. Merchant’s Row will be closed to cars after that time. If you are arriving after 12:00 pm please plan accordingly knowing that you will have to park at the end of Merchants Row and manually transport your materials to your spot.  Bring your own hand cart.  If there are any special circumstances, please contact the Merchant Coordinator.

All merchants must be set up by 8:00pm on Friday.

Can I bring my vehicle on to Merchant’s Row?

You can bring your vehicle on to Merchant’s Row after 9am and before 12:00pm on Thursday for the purpose of setting up your shop. Please remove your vehicle as soon as it is unloaded. Merchant’s Row staff will ask you to remove your vehicle if it remains parked too long.  Please help us maintain a medieval atmosphere and a safe area for everyone by keeping Merchant’s Row free of vehicles.

Can I camp where I merchant?

Maybe! This depends on if you are camping in a tent or in a camper. Please contact the Merchant Coordinator for details.

Will there be a shopping War Point? How does that work?

Yes, there will be a shopping War Point this year! A separate email will go out to all merchants with details, but the gist of it is: forms will be available for people to record their shopping, and the side that spends the most money will be awarded a War Point.

Will my information be included in the site booklet?          

Yes! If you would like your contact information included in the site booklet, please let the Merchant Coordinator know.

What happens if I violate the site rules or Merchant’s Row rules?

This depends on the rule. If it is a minor issue, you will be asked to remedy the situation. If you fail to remedy the situation in a timely fashion you will very likely not be allowed to vend in future years. If it is a major issue, you could be asked to leave the site.

In general, we try to keep any issues small and take care of them before they become bigger. We also ask that you remember the golden rule: Do unto others as you would have them do unto you.
